The Office of the Registrar seeks to provide the best student experience to students from the initial point of contact though their stay at Western, convocation, and beyond.
Responsibilities
The Administrative Coordinator will provide a variety of process, project, administrative and logistical supports to the Registrar and senior leadership team in the Office of the Registrar. The Administrative Coordinator will ensure that operations are smoothly facilitated and that the Registrar’s time and efforts are focused on priorities that require their direct oversight. The Administrative Coordinator will review and evaluate requests, inquiries, and issues directed to the Registrar, and take appropriate action or escalate as required. The Administrative Coordinator will direct individuals to the appropriate resources and will manage the Registrar’s calendar to ensure their time and attention is directed toward priority issues.
The Administrative Coordinator will provide guidance and support for a range of administrative, human resources, and financial functions and processes, ensuring they are carried out in compliance with all of Western's relevant administrative policies and procedures. The Administrative Coordinator will assist in the resolution of administrative and facility issues and will also provide project support, participate on relevant committees, and ensure the availability of necessary documentation, resources, and information within the Office.
Qualifications
Education:
- Undergraduate Degree in Management and Organizational Studies, Business Administration or related field
- Courses completed in Human Resources or working towards CHRP designation preferred
Experience:
- 5 years progressive administrative experience supporting senior leaders in a complex office environment
- Experience supporting human resources and financial functions
- Experience in a unionized or post-secondary environment is preferred
Knowledge, Skills & Abilities:
- Knowledge of general office procedures and with best practices for assessing, developing, and implementing new business processes and procedures
- In-depth knowledge of best practices for handling sensitive and confidential information
- Familiarity with event management techniques and tools and with project management methodologies
- Excellent verbal and written communication skills and confidence dealing with all levels of an organization
- Detail-oriented with an ability to function and process information with high levels of accuracy
- Commitment to ongoing professional development with a desire to take on new challenges
- Ability to remain highly motivated, resilient, innovative, and collaborative when faced with challenges
- Client service skills with an ability to apply tact and diplomacy when dealing with sensitive issues and a range of personalities, motives and interests
- Advanced computer skills in Microsoft Office, and a demonstrated ability to learn new technologies quickly
