Shop Administrator

A medium sized equipment and vehicle repair shop is currently looking for a Coordinator.  The ideal candidate will have above average command of the Microsoft suite of programs, excellent data entry and filing skills and a strong communicator.

This role:

  • Completes vehicle repair reports accurately and clearly on repair order.
  • Reviews repair orders to ensure that work is completed, and that additional work and authorization is noted.
  • Performs data entry “work pending” from vehicle reports sent to shop by operations personnel.
  • Provides a timely daily work in progress (WIP) report and communicates to the appropriate persons.
  • Controls spare inventory assigned to shop including orders, receipt of goods, and storage.
  • Manages all warranty claim issues, and ensure follow through.
  • Facilitates parts ordering process, orders parts.
  • Works with Manager to monitor parts inventory and monthly physical part inventory. Make any adjustments needed in system.
  • Works with vendors to perform needed services. Follow all repair order processes in system.
  • Orders/purchase office supplies.
  • Maintains office equipment (i.e., copiers, printers, fax machines, etc.). Trains personnel in its use and troubleshoots problems.
  • Handles special clerical projects as instructed by either the Maintenance Manager or Directors.
  • Controls all posted documents, including time records, vehicle records and changes to parts inventory.
  • Files all documents.
  • Prepares invoices for approval.
  • Maintains high customer satisfaction standards.
