Job Description

Duties/Responsibilities:
  • Assisting and supporting project administration including reports, proposals, spreadsheets, letters, presentations, database lists, specifications, contracts, packages, proof-reading, copying reports and drawings;
  • Coordinating daily activities related to project information flows including project opening, maintaining, updating and tracking project schedules;
  • Organizing, attending and taking minutes of meetings including coordinating and tracking action items and deliverables;
  • Creating budget/costs reports and reviewing invoices;
  • Supporting Principles (Vice-President, Architect, Engineer) with financial reporting, staff management and organization;
  • Creating and maintaining a documentation / records database, and
  • Providing other administrative duties/tasks as required.

  • Post-secondary education in office administration;
  • 2 -3 years related work experience in an engineering/architectural consulting environment;
  • Experience with RFP’s/RFQ’s/RFI’s;
  • Excellent organizational and time management skills to respond to changing priorities and handling multiple tasks to support a large number of technical staff and managers;
  • Strong customer service orientation;
  • Ability to carry out detail oriented tasks accurately and independently;
  • Highly proficient on computer software applications including Microsoft Word, Outlook and Excel;
  • Excellent verbal and written communication skills in English; and
  • Willingness to work in a team environment, assisting team members and contributing to the overall objectives of the team.
