Administrative Assistant – Finance/Human Resources

Position Summary:
The Administrative Assistant – Finance/Human Resources will be responsible for providing human resource and financial/accounting support.   This position will report to the Manager of Human Resources.

Job Duties
Human Resources
  • answers general inquiries on human resource issues from department managers, employees, and community
  • assist with recruiting
  • prepares internal job postings; adhering to the terms of the current Collective Agreement, as required.
  • prepares and places external job advertisements for staff recruitment and receives all job applications for employment
  • assist with reference information
  • create, maintain, and secures the HRIS and hard copy employee, student/intern personnel files ensuring confidentiality is enforced.
  • assist with employee orientation and training
  • prepare human resource correspondence, i.e., letter of hire letters, contract letters
  • generate reports and statistics to the Human Resources Manager and leaderful team, as required
  • update the Human Resources Manager of any sensitive issues/concerns
  • Other duties as assigned.
Finance
  • receive, review and process invoices; and process internal rush cheques/EFTs based on appropriate approvals and back-up invoices
  • process weekly petty cash cheque for each program based on appropriate approvals and back-up invoices
  • reconcile petty cash returned to each program through bank deposit
  • assists in completing bank deposits/credit card reconciliations
  • archive payables as required.
  • keep accurate filing/recording system of all cheques, invoices, mileage forms, etc.
  • clear accounts payable cheques from bank reconciliation
  • data inputting of billings and deposits
  • follow up with outstanding accounts receivable owing over 45 days in a timely matter.
  • Provide payroll back-up
  • Report in writing, any accounting issues/concerns to the Director of Finance
  • Prepares Month End Reports
  • Maintains Budget Values in Accounting Program
  • Other duties as assigned
Requirements
  • post-secondary education in Business Administration or Human Resources
  • 0-1 years recent work experience in Office Administration or Human Resources
  • experience in a unionized environment or experience in the nonprofit/charitable sector is an asset
  • relevant experience in accounts payable, accounting support
  • maintain good knowledge of the Collective Agreement and Policies and Procedures
  • knowledge in Ontario employment standards, preferred
  • sound knowledge of accounting principles and guidelines
  • strong verbal and written communication skills
  • Strong computer skills including - demonstrated expertise using Microsoft Office, including Excel, Word, Outlook, HR software and accounting programs
  • accurate data inputting required
  • Excellent interpersonal, problem-solving skills
  • Able to maintain a consistent professional manner with both internal staff and external stakeholders and to always maintain confidentiality
  • Vulnerable Screening, COVID Vaccination required
