Provide executive level administrative support, estimating and budgeting to the Vice President and the Build group as a whole.

PRIMARY RESPONSIBILITIES 
 
Project Coordinator related Responsibilities:
  • Assist CM & PM with document preparation for tendering, permit apps, supplements, project closeout, etc.
  • Prepare in-house job files, labels
  • Prepare start up binder for PM – time/expense/activity/cost sheets including budget, permit, quotes, reports & various tabs, etc.
  • Setup “CCMS” in excel spreadsheet to enter, update, maintain all financial cost associated with the project
  • Run reports tracing project costs & relay info to CM
  • Update monthly invoicing spreadsheet with project percentage completion amounts
  • Request & log final invoices, stat declarations, as-builts, warranty, maintenance paperwork from sub-trades
  • Shop drawing review
  • Provide Support to the VP/CM
  • Project scheduling and planning
  • Maintain Accurate and up to date logs (CO/ SI/ Shop drawings)
  • Obtain quotes for CCO’s
  • Documenting site meeting notes and creating meeting minutes
  • Be familiar with all CCDC documents, and assist in the preparation of subcontracts
  • Provide administrative support to V.P. Construction and President in preparation of proposals, letters of agreement, planning studies, general filing, and general administrative correspondence to prospective clients
  • Verify that Certificate of Occupancy Requirements are met and C of O will be in hand prior to Client move in date
  • Maintain Rack Set of plans and specs 
  • Correspondence to Subcontractors / Suppliers
    • Per PM / Site Supervisor or CM direction, draft letters for:
      • Delays
      • Back charges
      • Authorization to proceed with changes
  • Notify Subs and Vendors of Submittal requirements and dates due
  • Review Submittals
  • Develop and maintain Submittal Log
  • Distribute approved Submittals to and review with PM / Site Supervisor
  • Notify A&E of all late response on Submittals
  • Meet with A&E as necessary to review status of all outstanding Submittals
  • ASI’s
    • Maintain ASI Log with distribution
  • Pre-Construction Services:
    • Verify drawing permit requirements, form, number of prints and sealing requirements
    • Determine sets needed for bid process
    • Develop Bid Strategy based on requirements of Client’s timeline (early release of bid packages, etc.)
    • Conduct Subcontractor prequalification / Client preferred Subcontractors
    • Issue bid announcement & Bid Date
    • Distribute Plans, Spec and addendum
    • Conduct Pre-Bid meeting (if size & complexity dictate)
    • Advise architectural team of sets needed for permit
    • Receive and distribute to CA, plan review comments
    • Coordinate response time for comments
    • Evaluate Bids (w / Estimator in needed)
    • Conduct pricing meeting with the VPC or CM, and prepare Supplement
    • Conduct bid process; develop bid categories / work packages
    • Secure building permit
 
       Jr. Estimator related Responsibilities:
  • Prepare conceptual estimates based on preliminary plans and past project cost history.
  • Complete quantity take-off and data base pricing for all items of work required.
  • Prepare proposed general requirements to be reviewed with the construction team.
  • Solicit local pricing input from regional subcontractors and suppliers either by phone
  • Gather information from site inspections on renovation projects.
  • Review all estimates with the VP/CM before release.
  • Prepare cost breakdown to be used by the construction team for bidding process.
  • Assist with analyzing subcontractor bids.
  • Attend project debriefing meetings to review actual costs and identify data base revisions.
  • Interpreting conceptual and working drawings
  • Create database of cost based on previously completed projects as a resource for the build department
  • Preparing quality take offs and budgets
  • Soliciting, retrieving and consolidating info from various sources
  • Supporting the overall bid preparation and tendering process

EDUCATION AND/OR EXPERIENCE PREREQUISITES
  • Construction Engineering Technology diploma preferred  - Degree not required
  • 1-5 years of experience within the construction industry (Project Administrator, Buyer or Project Engineer)
