Grand Erie District School Board represents more than 28,000 students in 58 elementary schools and 14 secondary schools within the City of Brantford and the counties of Brant, Haldimand and Norfolk, as well as students from Six Nations of the Grand River First Nation and Mississaugas of the Credit First Nation. With a dedicated staff of more than 2,900, Grand Erie is committed to learning, leading and inspiring. The Education Centre is located in Brantford. 

We are seeking a group of diverse candidates for our Executive Assistant Pool. The Executive Assistant position is responsible for providing administrative and support services to the Superintendent. This position is the primary contact for public and school administration and provides executive level communication for both internal and external clients.  The Executive Assistant responds to queries and concerns of a varied and sensitive nature that are received into the Superintendent’s office and conducts their work in a highly confidential manner, in a frequently changing environment. This position will coordinate the daily activities and operations of the Superintendent’s Office and complete other administrative tasks and responsibilities as required.  Successful candidates will be placed on a ready to hire list for a three-year period and may be assigned at any time for both permanent and temporary opportunities.

Responsibilities include, but not limited to:
  • Receive, address, document, resolve and/or follow up as necessary for all inquiries as the primary point of contact between schools and Superintendent’s office
  • Coordinate and manage the Superintendent’s daily schedule including arranging meetings, networks, site visits, coordinating travel, accommodations and registration for conferences/meetings
  • Organize meeting documentation, agendas and supporting materials.  Facilitate virtual meetings, record and distribute meeting minutes
  • Assist with system level responsibilities assigned to the Superintendent’s portfolio including the tracking of budgets
  • Review and reconcile purchasing card statements, special project payments and other expense reports in accordance with Board procedures
  • Collaborate with departmental and interdepartmental colleagues in completion of work
  • Review school submitted documents for completion, accuracy and compliance with Board processes and policies
  • Manage and file electronic and paper records
  • Provide assistance to other Superintendents as required
  • Other duties as assigned

Qualifications, Skills and Experience:
  • Post Secondary degree/diploma in business, office administration or a related discipline with a minimum of three years relevant experience in an equivalent role; or the equivalent combination of education and experience as determined by the Board
  • School Board experience an asset
  • Advanced computer skills, especially with Microsoft Office Suite including experience with Outlook 365 and creating PowerPoint presentations
  • Experience organizing and facilitating Microsoft Teams meetings
  • Demonstrated ability to handle matters requiring high levels of diplomacy, sensitivity and    confidentiality
  • Strong customer service focus and work ethic, with an ability to problem solve issues, multi-task, prioritize, and exercise sound judgement
  • Excellent interpersonal skills with effective communication skills, both orally and in writing
  • Ability to work both independently and part of a team
 
Job Specifications
Hours of Work 7 hours per day/35 hours per week
Rate of Pay $62,746 - $71,303

A competitive benefits plan is available through a provincial benefits trust plan.
