 Manager of Litigation Support and eDiscovery in the London/Toronto Offices
 

The Manager of Litigation Support and eDiscovery will manage and support all litigation and technological services and requirements for the delivery of advocacy and dispute resolution services involving electronically stored information and eDiscovery.
 

Primary Activities:

1. Paperless Initiatives/Legal Project Management:

To assist the law firm in developing a paperless business structure across both offices by: 

  • Preparing paperless workflows;
  • Identifying, purchasing and implementing new technology beneficial to paperless workflows;
  • Working directly with IT and Trainers in the development of best practices;
  • Identifying methods to reduce costs and increase overall efficiency;
  • Audit, track and identify trends in savings and costs as it relates to being paperless;
  • Identify methods to convert administrative services within the firm to paperless services;
  • Identify and troubleshoot potential security issues in respect of electronic transfers of data outside of the firm;
  • Identify hardware and software tools to enable counsel to be paperless when outside of the office;
  • Identify applications that can be used and/or customized for mobile use by counsel;
  • Collaborate with clients to develop paperless processes and protocols that generate cost saving in respect of the exchange of data with Lerners.  

2. eDiscovery Policies and Procedures:

To assist the law firm in streamlining e-discovery by: 

  • Preparing/revising workflows;
  • Preparing/revising a manual of step by step instructions for each phase of e-discovery;
  • Preparing/revising best practices and precedents for use in the e-discovery processes;
  • Preparing information pamphlets for clients on e-discovery and benefits/costs of e-discovery;
  • Preparing presentations for information sessions for firm lawyers and law clerks;
  • Streamlining procedures;
  • Ensuring consistency in application of procedures and technology;
  • Providing technical assistance in the design, development and maintenance of databases within firm software;
  • Promoting effective use of litigation support applications through advanced training with litigation law clerks and lawyers;
  • Reviewing and revising/adding to the existing exchange protocol for production of e-discovery;
  • Providing procedures and precedent forms for consistent database management;
  • Providing access to e-discovery precedents via the intranet or ERL (Electronic Resource Library) to firm lawyers and law clerks;
  • Identifying and managing lists of approved vendors for use in London and Toronto;
  • Identifying approved processes for e-discovery Chain of Custody, secured storage of original ESI and secured shipping protocols;
  • Preparing audit protocols to ensure efficiency of standard use of procedures. 
 
3. eDiscovery in Litigation:

To assist counsel with matters involving eDiscovery by:
 
  • Consulting on e-discovery matters to inform counsel about options to allow counsel to make file specific choices;
  • Assisting clients and counsel with initial identification and preservation of ESI including scope;
  • Assisting with custodian or IT interviews, where appropriate;
  • Assisting clients and counsel with management of ESI including the support of efficient, cost-effective discovery processes;
  • Attendance at meet and confer meetings;
  • Assisting counsel with litigation hold procedures and enforcement with clients;
  • Assisting in the development of case strategies with counsel;
  • Identifying e-discovery risks;
  • Assisting with budget/proportionality issues for each process of e-discovery;
  • Overseeing schedule requirements utilizing project management skills;
  • Support for law clerks and lawyers in the use of technology and the application of e-discovery procedures;
  • Providing data management services including loading cases, images and ESI into database applications, conducting database inquiries, developing reports for legal teams and preparing load files for exchangeAssisting in the preparation of review manuals;
  • Assisting in the resolution of software or hardware issues relating to the supported litigation support tools;
  • Establishing and updating quality control procedures;
  • Assisting with and organizing e-trials;
  • Maintaining involvement in the e-discovery community to assist in identifying new resources, solutions and products for the efficient delivery of e-discovery services.  

           
4. Management of in-House Litigation Support & Document Conversion Teams as
well as external Vendor Management:    
 

To provide in-house support to staff in respect of evidence management by: 
 

·  Managing the in-house teams which perform electronic data services for legal teams for clients and other administrative firm services;
·  RFQ development for equipment and software;
·   Integration and testing of purchased software and hardware;
·  Overseeing and managing Document Conversion Team (DCT) and Litigation Support teams;
·  Developing standards and protocols in respect of  scanning, coding, processing and evidence management;
·  Developing manuals and training for applications, process and procedures;
·  Providing HR services to DCT and Litigation Support team members. 


Skills/Knowledge:

  • Minimum of 7 years of experience in a similar position;
  • Minimum 5 -10 years of experience in a legal role within a law firm;
  • Certifications and designations in e-discovery and project management;
  • Experienced in project management techniques and their application to litigation case management;
  • Strong understanding of rules governing eDiscovery and Data Capture;
  • Certification in in various applications and designations (CEDS);
  • Knowledge of Concordance, iPro Suite, DWR, Relativity and Caselogistix a definite asset;
  • Comfortable with Database concepts and law firm applications;
  • Relevant university or college credential;
  • Project Management qualification or equivalent is an asset;
  • Proven management experience;
  • Proven HR skills;
  • Excellent written and oral communication skills;
  • Ability to assess urgency, effectively prioritize and take initiative;
  • Aptitude for understanding new technologies;
  • Strong team player with ability to motivate;
  • Interacts well with people at all levels;
  • Works well under pressure;
  • Solid organizational skills;
  • Able to complete tasks with minimal supervision. 


Supervisory Status/Directions Received: 
 

  • Manager shall report directly to the Directors of SLED (Support for Litigation and eDiscovery) and the respective HR Managers in each office (Toronto and London). 
     

Authority Given: 

  • The Manager is solely responsible for the management of its teams and the completion of its directives.
