Job Description

Position: Administrative Assistant, Training and Professional Development Branch

Status: Permanent, Full-Time

The Administrative Assistant, Training and Professional Development Branch is responsible and accountable to the Branch Commander for the efficient and timely performance of the assigned duties and responsibilities.  

Specific responsibilities shall include, but are not limited to: 

  • Receive/greet all persons attending the Training and Professional Development Branch (TPDB) office, including phone and email enquiries in a receptive and professional manner, and relay information and messages to the appropriate area;
  • Prepare correspondence, statistics and reports related to the TPDB including maintaining, sorting, distributing and filing all related paperwork and electronic files pertaining to the member's training records and ensuring Branch Supervisors have the information in the format they require;
  • Maintain the schedules for classrooms and assigning training spaces upon request of Supervisors in the TPDB;
  • Develop and maintain careful, precise records relating to the TPDB;
  • Maintain and update all members' records related to training and professional development, including submitting course certificates to the Human Resources Division to be added to members’ personnel files;
  • Develop and maintain scheduling and record systems for various types of training and diary dating expiring training (i.e.: pistol requalification, taser training, defensive tactics, heavy weapons, working from heights, first aid, respirator FIT testing, PVO, etc.);
  • Develop and maintain reporting structure and support in relation to audits and inventories of LPS assets (i.e.: firearms, heavy weapons, tasers, ammunition, other use of force equipment, etc.);
  • Develop and maintain record systems for various types of Health and Safety functions (i.e.: PAPR, AED Devices, EpiPens, Scott AirPacks, First Aid kits, respirator FIT testing, etc.);
  • Develop and maintain scheduling and communications for In Service training and diary dating expiring training;
  • Coordinate members' return to work training schedules with the Human Resources Division for members returning from leave;
  • Transcribe data from Use of Force Reports to the LPS statistics record, including input of year end statistics;
  • Assist budget managers within the Branch with data entry related to purchases, and reconciliation of budget sheets against month end reports;
  • Maintain basic/general knowledge of both the sworn and civilian working agreements as well as LPS procedures;
  • Utilize discretion and tact related to records and information maintained by the TPDB and the release of that information;
  • Prepare applications/documents/registration for members assigned to attend OPC/CPC/Conferences/Other courses external to LPS, and provide instruction to members relating to course attendance, travel expenses and accommodations;
  • Develop and maintain tracking systems relating to contracts with external speakers; and
  • All other duties as assigned. 

Requirements:

  • 1 year post-secondary with preferred courses in Office or Business Administration.
  • 1-2 years pre-employment related experience

Salary: 

$46,843 (starting) to $69,128 (at 30 months)
