MCFBedard Group Inc. is currently seeking an Executive Assistant who will provide full administrative support to the President & CEO.  This individual must have the ability to demonstrate a standard of excellence, enjoys challenges and is results-driven. This role is responsible for ensuring that the time and tasks of the President & CEO are well organized, planned, and prioritized. The Executive Assistant may work independently at times to prioritize and balance a personal workload to meet critical deadlines and target dates for assignments. We are seeking someone who is committed, reliable, professional and is able to build strong relationships with our internal Staff Members, external Insurance Company Supplier-Partners and long-term Corporate Clients.

Responsibilities:        
  • Perform a wide variety of administrative support functions for the President & CEO
  • Handle telephone inquiries in a professional, helpful manner. Route inquiries appropriately.
  • Liaising with both internal and external stakeholders by acting as the first point of contact for the executive team.
  • Multiple and complex calendar management and meeting support to facilitate daily meetings and appointments.
  • Review incoming correspondence (regular mail and email) and sorting via issues of importance or immediate attention.  Prepare outgoing email and mail-outs as needed.
  • Providing email support to the CEO by managing all inquiries and providing support on actionable items. 
  • Prepare meeting materials and coordinate meeting agendas.
  • Preparing reports and creating presentations.
  • Compile, edit and finalize executive level presentations and documents. Proofread documents to ensure accuracy and clarity of content; ensure conformity to layout and format.
  • Assemble pertinent/background and research information to facilitate decision making.
  • Assisting with other administrative and ad-hoc tasks as needed.
Qualifications:
  • Completion of a College Diploma, University Degree or equivalent work experience.
  • Must have the ability to do business math and formula calculations.
  • Excellent interpersonal and communication skills (written and verbal). Ability to write brief and diplomatic correspondence.
  • Previous experience working with the general public is an asset.
  • Proficient in the use of Microsoft Office, including but not limited to Word, Excel, PowerPoint, Publisher, & Teams.  Ability to learn new software programs quickly.
  • Handle and maintain information with the highest degree of integrity and confidentiality.
  • Ability to effectively prioritize tasks within a fast paced, deadline-oriented environment.
  • Strong organizing skills with the ability to follow through to ensure that tasks and deadlines are completed.
  • Strong attention to detail and demonstrated ability to provide a high level of accuracy.
  • Self-motivated, results oriented and quick learner.
  • Willingness to take on tasks or assignments as needed.
  • Ability to accept direction from multiple levels of management.
  • Ability to work without direct supervision.
