Position Title: Project Manager

 

Role & Responsibilities

About the role:

Pillar Nonprofit Network is seeking a Project Manager to support project planning and execution, grant administration, budget management, reporting, and organizational alignment for the Women of Ontario Social Enterprise Network (WOSEN) through the end of the project on March 31, 2023. 

 

The goal of WOSEN is to create a stronger entrepreneurial ecosystem across Ontario that supports the development and growth of women*-owned and women*-led ventures that have a positive social and environmental impact. We hope to build a prosperous and resilient economy within Ontario that builds prosperity for all. WOSEN is dedicated to equity and inclusion, and seeks to support entrepreneurs from underserved and underrepresented communities, including those who are Indigenous, in rural or remote regions, racialized, immigrants or refugees, 2SLGTBQ+, or those with disabilities.

Responsibilities

  • Project Management

    • Manage and refine WOSEN’s project plan in collaboration with program leads to ensure individual program plans are integrated into overarching project plan. 

    • Ensure all parties understand their responsibility, accountability, and expected deliverables. 

    • Ensure compliance with grant criteria, and that project milestones, tasks and deadlines are being met.

    • Manage project risks, real-time issues, and communicate project changes, in consultation with program leads.

    • Manage project documentation.

    • Coordinate monthly WOSEN project meetings and weekly administrative meetings.

  • Grant Administration

    • Manage relationships with project officer(s) to ensure alignment between project and grantor’s objectives.

    • Manage grant administration (oversee data collection, project database management, communications, prepare travel approvals, claims, etc.).

    • Attend program meetings to help align, provide grant context (and other programs).

  • Budget Management 

    • Oversee project invoicing and map to claims (ensure receipt, tracking and submission of project invoices from program leads and external contracted partners).

    • Oversee project budget, and lead annual collaborative budgeting process (across 4 programs and 4 partners, rolling up to collective budget)

    • Monitor actual spending compared to planned budget, and prepare quarterly cost forecast.

    • Document payments and expenditure, and prepare claims for grantor.

  • Reporting

    • Monitor project progress and prepare project reports within deadlines.

    • Support evaluation and assessment of project results and outcomes.

    • Present to stakeholders reports on progress as well as problems and solutions.

  • Organizational Alignment

    • Attend Pillar team and cluster meetings.

    • Participate in WOSEN and Pillar sponsored events and programs as required.

    • Consider alignment between the WOSEN project (plan, goals, outcomes) and Pillar’s overall strategy. 

 

Job Skills, Knowledge, and Strengths

Skills and Qualifications

  • Experience managing projects and budgets.

  • Experience leading complex collaborative and co-creative projects.

  • Experience with project administration related to an external funder (e.g., grant administration, client requirements management).

  • Ability to connect, communicate, build relationships, find alignment with a diverse group of stakeholders.

  • Comfortable presenting information to various audiences.

  • Knowledge of impact sector and funding landscape is helpful but not necessary.

  • Knowledge of community development principles and approaches.

  • Proficiency in G Suite (Google Apps), Microsoft Office, communications platforms (social media), and graphics software (e.g. Canva) is helpful.

  • Familiarity with collaborative project management tools (i.e., Basecamp, Airtable).

Work environment

Work Terms

  • Hours: Full-time (37.5 hours per week)

    • Flexible hours, with occasional evening and weekend work required

  • Reports to:  Rachel Berdan - Director, Social Innovation

  • Contract: December 6, 2021 to March 31, 2023 (earlier start is available; possible opportunity to extend, dependent on funding)

  • Salary Range: $50-55,000/year

  • Access to Pillar's Learning & Development program, when possible

  • Based at Innovation Works (201 King Street, London, ON); please note that as of September 22, 2021, all who enter Innovation Works must be fully vaccinated
