PURPOSE AND SUMMARY STATEMENT
 
Under the direction of the Controller, the Assistant Controller is responsible to manage the daily and routine operations of the accounting department and to coordinate the financial reports for the Organization. This position also assists in the development and maintenance of financial controls and control documentation in support of accuracy and integrity of financial information. Ensures that related accounting and control activities meet generally accepted accounting principles and are in line with sound financial control procedures.

ESSENTIAL JOB FUNCTIONS
 
Provides functional guidance and occasional instructions to co-workers to ensure that accounting activities are in accordance with established legal regulatory and company policies and procedures.
 
Develops recommendations in implementing processes to monitor quality and accuracy of information ensuring that necessary controls are in place to maintain the integrity and accuracy of financial information.
 
Provides assistance to the Controller in producing accurate yearly budgets and inputting them into the system, as well as reviews and reports on any budget variances for expenses and revenues as required.
 
Prepares monthly financial statements including balance sheet account reconciliations and monthly working papers on a timely basis as well as prepares financial information, reports and analysis for individuals, departments, or company when needed.
 
Examines and analyzes journal and ledger entries, accruals, inventory discrepancies, expenditures, tax returns and other accounting and financial records including cost of sales process to ensure accurate inventory valuations, gross margin reporting, financial recording accuracy and compliance with established accounting standards, procedures and internal controls.
 
Reconciles bank statements and related general ledger accounts such as the cash clearing account completely and accurately on a monthly basis.
 
Maintains and reconciles fuel inventories at the cardlock locations.  This includes entering product receipts, transfers and adjustments and balancing the inventories, to the dips, on a daily basis.  Any discrepancies will need to be looked into and reconciled.
 
Performs daily importing of inventory and sales transactions from Agvance and FBS systems; deals with any resulting error logs.
 
Reviews and approves weekly accounts payable cheque runs and transfers payments on a daily basis.
 
Maintains fixed asset accounting records, including additions, disposals, gain/loss on disposal of fixed assets and monthly depreciation. Also maintains a progress file on the capital expenditures (AFE’s).
 
Produce invoices and inventory transactions for Westway FBS and BioDiesel FBS.
 
Analyzes and clears internal A/R accounts on a monthly basis.
 
Reviews a daily cash flow report that indicates the net dollars on hand.
 
Prepares and submits HST, and other commodity tax forms on a monthly basis. Completes government survey forms as required.
 
Interacts with internal/external personnel as necessary in order to resolve transaction problems relating to processing done at the branches and/or the banks, as well as provides assistance with external and internal audits.
OTHER JOB FUNCTIONS
 
Produces accurate invoices on accounts receivables as required.
 
Provides assistance with the analysis of the workload and workflow in the department to improve the accounting processes and to improve service levels and information available to product divisions.
 
Follows GROWMARK Workplace Health, Safety & Environmental policies and procedures. Under the Occupational Health and Safety Act (OHSA) employees must: use or wear any equipment, protective devices or clothing required by the employer; report any known workplace hazard to the employer or supervisor; report any known contravention of the Act or regulations to the employer or supervisor; not use or operate any equipment or work in a way that may endanger any worker.

REQUIREMENTS
 
Education and Experience
 
Normally requires a university degree or college diploma, C.A., C.G.A., or C.M.A. or equivalent combination of education and experience. A good understanding of Microsoft Office software and 2+ years of experience in the accounting field.
 
 Functional Competencies
Understanding and experience with the general ledger, financial reports, and business analysis information, etc. and the ability to develop processes and procedures to improve efficiencies.
Demonstrated communication skills and the ability to interact effectively with internal and external contacts.
 
Proven ability to work independently, in a team-oriented environment, and achieve results through others.
 
Proven organizational skills with the ability to work under time pressure and meet deadlines during the monthly and annual accounting close cycles.
 
Proven computer ability, as well as ability to learn proprietary software.
 
Demonstrated ability to pay careful attention to detail and maintain a high degree of accuracy when preparing and analyzing reports.

May be required to work hours beyond those considered ‘normal’, particularly during peak season.

JOB SPECIFICATIONS
 
Mental Effort
 
The incumbent works independently within established policies and work procedures and is called upon to make decisions within their scope of practice.
 
Requires periods of concentration that varies between moderate to occasionally fairly high in intensity and attention to detail while completing accurate financial transactions, assisting in preparing annual reports and/or budgets, reconciling bank statements, analyzing shrink margins etc. in a fast-paced work environment.
 
The incumbent may encounter moderate to occasionally high mental stress increases when dealing with deadlines, during month and year-end activities during peak season, sometimes unclear information and in handling interruptions from supplier queries, other departments and managers that require refocusing.
Mental stress is often particularly high during year end activities.
 
Physical Effort
 
Most of the incumbent’s time is spent in a sitting position while working at a computer screen, with opportunity to move about. Office work may result in long periods of viewing data on a computer screen and/or on paper. Possible eyestrain from using computer for long periods of time on a daily basis.
 
Occasional lifting, carrying and putting away parcels weighing up to 35 lbs. may be required.
 
Physical demands include occasional turning, bending, pulling, and reaching, and repetitive finger, hand and arm movements, throughout the shift to accomplish tasks.
 
Working Conditions
 
Work is conducted mainly in a typical office environment, sometimes in a noisy, open area while interacting with team members and serving customer’s needs. Additional hours or time outside of normal hours may be necessary due to operational requirements.
 
According to the needs of individuals, businesses, and key contacts, some infrequent traveling to the branches, and use of personal vehicle may be required.
