Program/Purchasing Specialist

Position Summary
 
Program Specialist: Major role
  • Responsible for the timely scheduling, progress reporting and completion of projects as identified.
  • Monitor & report out status updates both verbally and in writing utilizing Aisin / Toyota tools
  • Development and monitoring of Master Schedules, work plans, timelines and status reports. 
  • Collect & report out on program/project status to Aisin / Toyota Members as required using Aisin/Toyota forms such as SPIMS, SPMP, PRC & TPR’s
  • Establish & maintain routine communication meetings for all stages of new program launches/ internal projects with management & support staff, in conjunction with AWA program Manager 
  • ACI main program contact with customers, suppliers and development/ program launch officers. 
  • ECI control, hold weekly meetings, manage implementation to key dates. 

 
Purchasing Specialist: Minor role

  • Support Senior Purchasing Specialist as required
  • Establish good working relationships with current & new suppliers
  • Support & maintain a supplier and parts database with annual estimated usage for budget control & APR negotiations
  • Assist in the establishment of a strong ACI supplier base - based on cost control, quality, and delivery and TS 16949 compliance.

 
Position Responsibilities

  • Closely monitoring and reporting out on the program status,   required program data information, customer master schedule updates. 
  • Toyota Supplier.com Program Management contact & support.
  • Coordination of the delivery of products and services to support all launch trials up to and including final  SOP
  • Identification & immediate communication of any critical path issues which may lead to setting new priorities. 
  • Monitor and adjust progress of project tasks & visual display of status
  • Coordinate/ notify ACI of any additional trial related customer requirements / visits.
  • Work directly with all affected team members to identify and resolve any program related conflicts /potential impacts.
  • Documentation and tracking of processes and action items as necessary.
  • Identify and adjust any discrepancies in scheduling.
  • Monitor material delivery for trial events, new level ECI’s to ensure schedule conformance.
  • Prepare various spreadsheets,   reports, and schedule updates as required.
  • Weekly posting of any schedule updates. 
  • Immediate updates to all management of any unplanned events or costs that have any impact on the program / project.  
  • Emphasize to all program / project members, the execution of project tasks & deliverables, foreseeable potential problems and preplan with all to avoid any major issues that impact deliverables.
  • Work with PC Specialist with forecasting, planning, scheduling, and estimation of timelines. 
  • Assist with prototype procurement when necessary.
  • Coordinate all trial parts ordering / shipping, work with shipping & receiving members to ensure they understand what parts are being received / shipped to meet trial events

 
Essential Skills and Experience

  • Strong documentation skills
  • Proficient with  Excel, Angles, PowerPoint, Word
  • Motivated and independent in getting timelines, tasks completed
  • Demonstrated excellence in communication, negotiation, and decision making skills
  • Strong project management / organizational skills
  • Minimum 2 to 3 years successful experience in the delivery of medium to large scale projects
  • Experience in a Project Management Setting
  • Experience in working with cross functional teams
  • Able to head meetings / conference calls with Customers, Suppliers, Management

Education/Training/Certifications

  • Diploma from a recognized program in Project Management
  • Toyota Launch experience

Travel Required

  • Estimate  5 - 10%
