Administrative Coordinator
 
Job Summary
 
The Administrative Coordinator will be required to perform an array of duties. The main duties of this position is to manage the Accounts Payable and Receivable functions. This person will also support the Senior Management team by assisting with their administrative tasks. The Administrative Coordinator brings with them specific skills in book keeping/accounting mixed with other support skills in an office environment. This position may also be required to support Sales initiatives as required. Reporting to the Administration Manager, this position supports many functions within the organization but with specialized focus in bookkeeping and accounting.
 
Duties & Responsibilities
  • Account payables and receivables; maintaining payment schedules, processes and receives payments, handles regular bank deposits, creates purchase orders, customer estimates, creates sales orders and invoices our customers
  • Processes credit applications for new customers; advises on the decision
  • Customer service duties; incoming and outgoing contact with customers and vendors. Professionally manage inquiries via telephone calls, faxes and e-mails
  • Assists the Administration Manager with an array of related duties such as, but not limited to vacation request management and group RRSP administration
  • Assist with Company related employee initiatives including, employee incentive plans, administration of employee benefits and employee events
  • May provide administration assistance and management with promotional material, marketing material maintenance, trade show logistics and social media tracking
  • Complies with and promotes company health and safety policies
  • Other duties as assigned related to general job description
  • Maintains strict confidentiality of company information
 
Requirements
  • At least 3 - 5 years of proven administration experience
  • Must have excellent working knowledge of QuickBooks Enterprise Manufacturing
  • Must be able to multitask and prioritize work; a keen eye for detail
  • Must have an exceptional customer service background preferably in accounting in a manufacturing setting
  • Health and Safety Coordination and experience working with safety groups an asset
  • Above average levels of written and oral communication skills
  • Above average mathematical skills
  • Competence and proven skills in various and/or compatible software applications such as, Microsoft Office suite, CorelDraw and/or Photoshop, Adobe’s creative suite, knowledge of social media management using Facebook, Twitter & LinkedIn
Credentials
  • Post-secondary education or equivalent experience related to book keeping and administrative management
  • Experience in accounting an asset
  • Excellent working knowledge of MS Word, Excel and QuickBooks Enterprise
  • Billing experience is an asset
