Role & Responsibilities
About the role
The Building Manager is the front-line, go-to person for co-tenants of Innovation Works by Pillar Nonprofit Network.   Innovation Works is a 32,000 square-foot co-working space for nonprofits, individuals and organizations interested in creating positive community impact . This beautiful heritage building in downtown London, Ontario (201 King Street) was intentionally re-designed in 2015 to cultivate cross sector collaboration, connections and community for nonprofits, change makers and social impact business innovators.

The Building Manager provides responsive customer service and coordinates building maintenance while upholding the values of the community coworking shared space. As a building manager for a coworking space, your responsibilities would be similar to those of a traditional building manager, but with a specific focus on managing the needs and expectations of this vibrant coworking community. This is a role that primarily delivers lots of variety between overseeing and streamlining building operations all while striving to delight our co-tenants and welcoming guests so they immediately feel at home in the space.

Responsibilities
  • Managing day-to-day operations of the coworking space, including maintenance, security, and cleaning.
  • Ensuring a positive and welcoming experience for visitors and members.
  • Assisting with co-tenant member onboarding, including conducting tours and orientations, and handling lease inquiries and applications.
  • Managing co-tenant member leasing and billing, ensuring accurate and timely invoicing and payment processing.
  • Updating and managing co-tenant member digital accounts and profiles.
  • Collaborating with the marketing team to develop and implement promotional strategies for the coworking space.
  • Managing relationships with vendors and contractors, including negotiating contracts and ensuring timely completion of work.
  • Ensuring compliance with all building codes, health and safety regulations, and environmental standards.
  • Working with the Director of Finance to develop and manage budgets for building operations, including utilities, maintenance, and repairs.
  • Working with the VP Network and Engagement and the CEO to develop and implement building policies and procedures, including emergency response plans and evacuation procedures specific to a coworking space.
  • Conducting regular inspections of the coworking space and addressing maintenance and repair needs.
  • Managing and training support staff, including receptionists, cleaning staff, and other support personnel as required.
  • Liaising with the Director of Finance, CEO, VP Network and Engagement and other stakeholders to ensure smooth building operations.
  • Onboarding and orienting new tenants into the space
  • Performing monthly Impact Reporting 
  • Contributing to Pillar initiatives, including collaborative projects across teams

Job Skills, Knowledge and Strengths
The Building Manager should work well under pressure, prioritize tasks effectively, and manage multiple projects simultaneously. Additionally, you should have experience with managing budgets and contracts, as well as knowledge of building systems, maintenance practices, and safety regulations specific to a coworking space.

The ideal candidate will have excellent communication and organizational skills, a strong customer-service orientation, the ability to troubleshoot facilities and operations challenges, a positive attitude, and experience interacting with nonprofits, entrepreneurs, and social enterprises.

Required Qualifications
  • Post-Secondary Education (College Diploma,University Degree or Property Management Certification)
  • 2-3 years of strong Customer Service experience
  • 2-3 years experience in facilities management
  • Proven organizational and time management skills 
  • Demonstrated self-starter with ability to work independently 
  • Experience with Intranet software, booking software, Google Suite and database management software
  • Some financial knowledge (e.g. experience managing budgets and reporting)

Preferred Knowledge and Skills
  • Practical knowledge of nonprofit, social innovation, social enterprise, and social finance an asset
  • Experience in a position of leadership, either paid or volunteer 

Desired Knowledge & Skills
  • Proactive and entrepreneurial spirit
  • Sales experience and a drive to meet forecasted target
  • Ability to project manage effectively and execute on tasks
  • Strong customer service skills (i.e. friendly, open, honest, and courteous)
  • Health & Safety knowledge and/or certification
  • Experience with collaborative partnerships
  • Proven planning and organizational skills with strong attention to detail
  • Action oriented, with proven ability to deliver results
  • Well-versed on Diversity, Equity and Inclusion practices 
  • Ability to manage multiple projects, prioritize, and meet established deadlines
  • Excellent written and verbal communication skills
  • Experience in community development and/or active community engagement

Work Environment
Work Terms:
  • Hours: Contract - Full-time (37.5 hours per week), 1 year with possibility of extension 
  • Compressed work week with in-person availability covering the core business hours
    • Monday to Thursday - 8:30 am - 4:30 pm, Fridays - 8:30 am - 12:30 pm
      • With the possibility of additional after-hours (evenings and weekends) support, if required.
  • Reports ?to:  Maria Luisa Contursi, Vice-President, Network and Engagement 
  • Access to Pillar's Learning & Development program, when possible
  • Based at Innovation Works (201 King Street)
  • Compensation: $55,000 per year*, RRSP contributions, employee benefits package

Pillar Nonprofit Network compensates shortlisted candidates for this role $31.00 / hour for up to three hours for interviewing for the role.
