Job Description

As our fast paced, family owned truck dealership continues to grow, so does our need for qualified Service Advisor and Parts Counter Customer Service Representative. In this position you will be taking a role of Service Advisor and Parts Counter Representative. As a Service Advisor/Parts Counter Customer Service Representative, you will be responsible for interacting with our customers and providing exceptional customer service.  This person will identify and schedule our customers’ vehicles and service needs. You will assign work to mechanics and monitor the flow of work in the Service Department. This position handles all customer concerns regarding vehicle repairs and advises customers of recommended maintenance. We are willing to provide necessary training for the appropriate applicant.
 
Service Advisor Duties and Responsibilities include but not limited to:
  •  Responsible for the receipt and flow of all incoming work, communication with customers and constant communication with all other internal departments.
  • Greet customers in a timely, friendly manner and obtain all specific vehicle /customer information required for proper repairs, contacting customer and invoicing.
  • Write up customers’ vehicle issues and concerns or maintenance requirements accurately and clearly.
  • Obtain customer signature on the repair order and provide customer a copy of the repair order.
  • Must be able to understand, communicate, and evaluate all vendors and International Warranty guidelines, approval processes and policies during the write up and repair process.
  • Establish customers’ method of payment, Purchase Order requirements and estimate requirements if needed at time of write up.
  •  Investigate progress of vehicle repairs and contact customer with status changes / promise time if required.
  •  Ensure vehicles are parked in assigned areas, trucks are locked and keys are tagged and properly stored.
  • Explain completed work and charges to the customer.
  • Keep up to date on all warranty policies and product changes to maintain effectiveness in this role.
  • Communicate service maintenance requirements (i.e. oil change interval, axle lube changes, required adjustments, etc.)
  • Solicit customers’ work to build our service business
Parts Counter Duties and Responsibilities include but not limited to:
  • Ordering and selling parts over the telephone or in person
  • Using electronic cataloguing and in house business systems for stock numbers, pricing, maintaining stock and inventory
  • Inspecting damaged parts brought in by customers to determine the proper replacement
  • Identifying the necessary parts on the basis of the customer’s complaint
  • Examining returned parts for defects and conferring with customers about exchanges and refunds
  • Marking incoming parts and stocking them in the stockroom 
LET’S GET YOU STARTED
Check to see if you have what it takes:
  • A Technical Aptitude and / or experience in the Medium /Heavy Duty truck, Automotive or Construction industry an asset.
  • Strong written and verbal communication skills.
  • Must be a team player with a strong sense of commitment to the customer.
  • Must be self-motivated and have good written and verbal communication skills.
  • Must conduct his / her self in a professional manner.
  • Knowledge of Microsoft programs and applications would be useful in this role.
  • Good organizational skills
  • Valid G license
  • Functional literacy and capability of recognizing part numbers and line codes to ensure the proper selection of parts
  • Front line sales and customer service experience is essential
  • Strong customer service skills
  • Excellent computer skills with ability to learn in-house programs
  • Prior parts sourcing or purchasing of parts an asset
  • Capable of lifting and moving merchandise
  • Karmak knowledge is a plus
