In partnership with Prime Management Group Inc., Dale Brain Injury Services (DBIS) in London, Ontario is recruiting for a versatile, motivated, and collaborative Executive Assistant to join their forward-thinking team for a maternity leave contract beginning in October 2021 until March 2023.

Role Summary
The Executive Assistant is a leadership position working under the specific direction of the Executive Director and within the broad framework of Dale Brian Injury Services’ mission, philosophy, policies, procedures, practices, and systems. The Executive Assistant will plan, organize, direct and control activities related to administrative functions, working collaboratively and supportively with the Leadership Team (Executive Director, 3 Directors, and 7 Managers) to develop and improve the effectiveness and efficiency of the organization’s operation in both the short- and long-term.
Duties will include, but are not limited to, the following:
  • Providing timely, enthusiastic administrative support to the Leadership Team.
  • Developing, coordinating, and reviewing all organizational policies and procedures ensuring compliance with relevant legislation, regulations, accreditation standards, and generally accepted standards of practice.
  • Managing and coordinating office and administrative budgets, authorizing expenditures for supplies and services.
  • Coordinating Marketing/PR/Social Media communications and fundraising activities, as well as maintain donor and stakeholder databases.
  • Coordinating all day-to-day office operations including electronic and filing systems/document management, phones, equipment, and updating the company website.
  • Scheduling, coordinating, and attending all Board/Leadership Team meetings to ensure accurate meeting minutes and coordinate the Annual General Meeting.
  • Special projects and event planning.
Qualifications
The ideal candidate will be a highly motivated, energetic self-starter who will also possess the following qualifications:
  • 3-5 years of proven experience performing in a fast-paced office administration role.
  • Post-secondary education in Administration/Human Resources or equivalent in training and work experience.
  • Demonstrated project coordination and time management abilities while supporting various leaders/departments.
  • Strong marketing, written communication, and social media skills.
  • Exceptional analytical skills with a high attention to detail and an ability to multi-task.
  • Exceptional interpersonal and communication skills.
  • High level of initiative and self motivation, with an ability to navigate within a fast-paced and multiple priority driven environment.
  • Strong proficiency using MS Office programs to develop spreadsheets and a variety of documentation.
