Description:

Full-time, temporary (Appendix D), Feb 2015-Feb 2016

Responsibilities:

We require a qualified individual to provide administrative support to the Student Life team.

  • Responsible for supporting departmental initiatives and functions (i.e. Orientation, English Conversation Partners, Respect)
  • Assist with logistics for workshops and outreach events; send email communications (e.g. notices, reminders, etc.) to appropriate groups
  • Support intake processes for English Conversation Partners
  • Schedule Connect and Respect workshops; create sign-in sheets, answer questions
  • Set meetings, create agendas, record, transcribe and send minutes to committees and working groups
  • Coordinate the Al Logan and Carol Gregory student awards by developing nomination packages, organizing selection committee meetings, arranging award presentations and presenting awards
  • Collect evaluation forms and tally results for various initiatives & activities to compile statistics
  • Execute co-curricular software system processes for initiatives and events
  • Prepare requisitions for supplies (i.e. business cards, name tags, printing, special events, work requests, etc.)
  • Monitor, reconcile, and record budget expenses for credit card purchases, petty cash vouchers and other purchases
  • Collect, sort and distribute incoming mail and send outgoing mail
  • Ensure functionality of LCD screen system at all locations (campuses and Residence)
  • Set up new users of the software system; provide technical support and advice to existing users; monitor content submissions and provide suggestions for improvement
  • Liaise with IT Services and software vendor to ensure hardware is operational and take action to repair/move hardware when necessary
  • Provide frontline customer service; daily opening procedures for the SL Office (and Information Desk if necessary)
  • Provide accurate information about the SL Department and other College services via in-person, email or telephone correspondence
  • Maintain clean office space
 

Qualifications:

  • Two year diploma in Office Administration Executive or Office Systems
  • Three years of experience in an office environment with a customer service focus, preferably in an educational setting
  • Excellent organizational skills with close attention to details
  • Strong time management skills
  • Ability to work independently and collaboratively as member of a team
  • Strong judgement, flexibility, adaptability, and written and verbal communication skills
  • A high degree of sensitivity and ability to work with a student population with diverse needs
  • Demonstrated commitment to client service
  • Demonstrated comfort and competence working with technology tools (hardware and software)
  • Proficiency with Microsoft Office Suite
  • Preference given to individuals with experience using web-based software applications (i.e. SCALA Enterprise Content Manager, Campus Labs Co-Curricular Record software)
